Could a colleague open the order file six months from now and reproduce the agreement? Details left only in messages make that difficult.

Start with a quotation you can actually compare

Two prices may look comparable until you count the pieces. One offer covers a duvet cover and two pillowcases; the other includes a fitted sheet, labels and retail packing as well. Fabric descriptions can hide differences too. What weave goes with the stated thread count? Does “custom colour” mean an existing shade or a new dye lot? Settle those points before comparing the totals.

Use one specification sheet to compare the quotations. Each quote should identify:

fabric composition and construction;

finished dimensions, including fitted-sheet pocket depth;

pieces in each set and pillowcase closure;

colour reference or approved swatch;

label, insert, bag and carton requirements;

quantity by size and colour;

sample, production and shipping milestones.

An unanswered line should stay visibly open. Guessing makes the quotation look more complete, but it also lets that guess find its way into cutting instructions.

See what happens before the sample is sewn

Notice what the supplier asks before making the sample. An unusual mattress depth, an omitted shrinkage allowance or a design placed close to a seam needs clarification. A quick response that overlooks those gaps has not resolved the brief.

Der HSC Textiles OEM and ODM workflow separates lab dips from sample construction. Its published schedule lists 3–5 days for lab dips and 7–10 days for sample customization, followed by confirmation or modification. Those timings are useful planning references, but the buyer should still confirm them for the exact material, colour count and finish in the order.

Find out who records the sample comments and follows them through. “Please make the blue warmer” leaves room for interpretation. A reference such as “Match approved lab dip B, dated 14 November” gives the production team something specific to use.

Audit the handoff from sample to bulk production

What did the buyer actually approve? The physical sample is part of the answer, and the production file must contain the accepted changes too. Check a few details that are easy to overlook on screen: seam allowance and elastic width, the label’s position, zipper direction, even the fold inside the retail pack. If a change exists only on the sample, it still needs to be written into the specification.

Agree which document controls production if the sample notes, purchase order and production sheet conflict. Resolve this before cutting. One dated final specification, with earlier versions withdrawn, gives the factory a clear reference.

Check the production controls, not just the inspection promise

Ask where shade, measurement and workmanship are checked, and ask to see the record used. Colour might be compared with the approved physical reference before cutting, measurements checked after sewing, and carton quantities reconciled during packing. The supplier should be able to connect each check to a production stage.

“Strict quality” does not explain much on its own. A check sheet recording the lot, size, tolerance and result shows what is actually being monitored.

Test how exceptions are handled

Ask about an awkward order before you have one. Perhaps the fabric is late, the care symbol in a label file is wrong, or cutting leaves a shortage in one size. The question isn’t whether a supplier can promise that nothing will go wrong. You need to know how the problem will be reported and resolved.

Ask for the escalation route: who reports the issue, what evidence is shared, who can approve a deviation, and how the change is captured in the order file. The HSC Textiles Serviceseite describes specification matching, sample confirmation, delivery tracking and complaint handling. Those are the points a buyer should turn into named contacts and agreed records.

Put the commercial terms beside the product terms

The MOQ question is really a question about the work being ordered. HSC Textiles publishes a 100-piece minimum for adding a logo. Change the style and the listed minimum is 300 pieces; customize the fabric and it is 1,000, with 500 per colour. Which description fits this order? Until that is agreed, none of those numbers is a sound basis for the buyer’s forecast.

What if the artwork is tardy, or in case you require the pattern to be accomplished once more? Where does that leave the date of delivery? You will work it out only when you can differentiate amongst lab dips and samples from raw-material booking, production & transport on the schedule. When you discuss when the date would be let them know you’d like to see that breakdown.

Look at the payment terms while reviewing the approval points. What, exactly, must be accepted before the deposit, before cutting and before payment of the balance? Put the answers in writing so a request for payment can be checked against the work completed.

Use a small order to test repeatability

A first order is a useful trial of the supplier’s working system. Keep it small enough to manage, with a specification that leaves little room for interpretation. When it arrives, open several cartons rather than judging the first set alone. Does the shade match the approved sample? Do the size, sewing and packing match as well? Keep a note of what differs.

For example, an organic stonewashed cotton bedding set may be offered with customized colour and packing. The evaluation should therefore cover the physical fabric and sewing, but also colour approval, set composition, label placement and the packing file. The product page is a starting point; the signed order specification remains the control document.

There is another useful check after delivery: ask for the final file. Can the supplier find it quickly? If the next quote starts with somebody trying to remember the last order, the buyer will have to explain settled details all over again.

A short supplier scorecard for the final decision

Review area

Evidence to request

Warning sign

Quotation

Itemized set, material, size, packing and quantity

Two offers cannot be compared line by line

Probenahme

Dated lab dip, sample comments and approval record

Changes remain in chat messages only

Produktion

Final specification and stage inspection records

No clear version used on the floor

Exceptions

Named contact and deviation approval method

Problems are reported after packing

Wiederholungsbestellungen

Archived sample and final order file

Previous details must be explained again

Use this scorecard to compare the records behind each supplier’s answers.
